This Privacy Notice covers all Government Departments lawfully constituted and operating under the control of the Executive of the Government of Bermuda. What personal information do we use and where does it come from?
“Personal information” can include things that can allow someone to identify you either directly, through your name or passport number (etc.), or indirectly, through your address, phone number, date of birth or IP address (etc.).
We obtain your personal information from –

When you register for the Bermuda Citizen Forums, you supply:
- Username (mandatory)
- E-mail address (mandatory)
- First and last name (mandatory)
- Year of birth (optional)
- Gender* (optional)
Area of residence (optional)
We also automatically collect personal information about you through cookies when you use the forum. For more information, please consult our Cookie Policy.
Third Party Individual(s)
The forum does not currently collect personal information about individuals from third parties.
Third Party Organisation(s)
The forum does not currently receive personal information transferred from a third-party organisation.

We make all reasonable efforts to ensure that only such personal information as is necessary for the purpose is collected and used.
If the personal information is obtained by any third party we ensure that such disclosures are reasonable and permitted by law.
What is our PIPA condition for use?
Bermuda’s Personal Information Protection Act 2016 (PIPA) says we must have a valid legal reason before we use your personal information. Our reasons are:
- Consent (s6(1)(a)): Where you have given clear consent by registering for and using the forum for the purposes described in this Privacy Notice.
Public task (s6(1)(g)): Processing necessary for the performance of a task carried out in the public interest, namely providing a public online community engagement platform.
For specific PIPA conditions for use by a specific Ministry (or Department), you should contact the relevant Ministry (or Department).
What is our business purpose for use?
We use the personal information collected through the Bermuda Citizen Forums to:
- Create and maintain your user profile on the forum;
- Manage the identification and authentication of users;
- Verify your user account in order to guarantee the necessary security measures; and
- Provide information about your community and/or alert you to activities on the platform that may interest you.
Your personal information is only stored and processed for the period required for these purposes. After that, it will be deleted or anonymised.
Who has access to your personal information?
The following individuals and/or types have access to your personal information:
- Relevant staff of the Department of Information and Digital Technologies who administer the forum;
- Local government authorities with an administrator role on the forum;
- Managers in the relevant department;
- Auditors, for quality control purposes;
Transfers in Bermuda and overseas?
In Bermuda:
- We only transfer personal information to third parties in Bermuda as required by law or when necessary to provide the service(s) you require;
- We use reasonable efforts to ensure that only the personal information that is relevant and necessary is transferred;
- All third parties who use personal information transferred by us or on our order must meet our third party transfer requirements.
When required by law, we disclose only the personal information that is necessary to comply with a lawful request.
Overseas:
- We only transfer personal information to third parties outside Bermuda as required by law or when necessary to provide the service(s) you require;
- We use reasonable efforts to ensure that only the personal information that is relevant and necessary is transferred;
- All third parties who use personal information transferred by us or on our order must meet our third party transfer requirements including an assessment of the laws that apply in the relevant jurisdiction.
We will not sell or rent your personal information.
Where is your personal information stored?
Your personal information is stored in accordance with our policies and procedures applicable to the relevant area and the sensitivity of the personal information that is used. This may be in Bermuda or if outside Bermuda, in accordance with our policy and procedures for international transfers.
How long do we keep your personal information?
We keep your information for the length of the provision of the service.
What are your rights?
You have the right to access your personal information and the right of correction, blocking, erasure, and destruction (in limited and specific circumstances).
If you wish to access your personal information please complete and return the Personal Information Access Request form. To exercise your other rights please contact our Privacy Officer.
We will do all we reasonably can to assist you with any issue arising from our use of your personal information.
